Time tracking

Employee time tracking: nobody compiles the timesheet by hand

HR-ONE turns each employee’s arrival and departure times into a finished working day, accounting for lateness, early departures, lunch, holidays and leave. At the end of the month the timesheet and payroll calculation are ready — no rebuilding them in Excel.

What is calculated

What the system calculates on its own

  • 01

    Arrival and departure

The first scan of the day is the arrival, the last is the departure. Nobody needs to scan when going out for lunch.

  • 02

    Lateness and early departures

Each branch has its own schedule, and lateness and early departures are measured against it — in the branch’s own time zone.

  • 03

    Lunch

The lunch break set for the branch is deducted from working time automatically.

  • 04

    Holidays and moved days

The work calendar knows public holidays and officially moved days off: a working Saturday counts as a working day, a holiday as a day off.

  • 05

    Leave and sick days

The employee sends a request from the app or Telegram bot and a manager approves it. The leave balance updates itself; sick days are not taken from leave.

    Payroll

The monthly calculation is built from hours worked, lateness and leave — every amount is backed by a date, a time and a scan.

Where the data comes from

How attendance is recorded

Office

Face ID terminal

The terminal at the door recognises the employee’s face and records the time.

Off-site

Mobile app

Employees working away from the office check in from the app with a selfie. Location is only taken during working hours.

Correction

Correction request

If an employee missed a scan, they send a correction request with a reason and HR or a manager approves it. The correction is logged and the working day is recalculated.

Reports

Reports and export

A live board shows who is at work right now. The monthly summary and history are in the panel and can be exported to CSV.

Employees see their own attendance and pay calculation in the mobile app or Telegram bot, so they can answer “why was I marked late?” themselves.

Frequently asked questions

Questions about time tracking

How do we move off an Excel timesheet?
We load the employee list and photos and install the terminal — the first timesheet is ready the next day. Past months stay in Excel; the new month runs in the system.
What if we have several branches?
Each branch has its own schedule, lunch break and terminal. Reports show all branches in one panel.
How is attendance corrected?
The employee sends a correction request with a reason and HR or a manager approves it. Every correction goes to a log that cannot be changed, so at month end you can see who changed what.
How is the leave balance calculated?
Approved leave days are subtracted from the annual entitlement. Working days are counted and public holidays are not; employees who join mid-year get a pro-rated entitlement. Sick days are not taken from the leave balance.
